Illawarra Folk Festival Stalls

INTRODUCTIONThis will be the seventh festival at Bulli having changed location from Jamberoo village in 2006. Click here for more information about Bulli. Stalls are to be positioned inside the perimeter of the showground site and will not be accessible to the general public. Entry to the festival and hence stalls areas is by Festival pass only. The Festival Committee strictly controls the type and number of each type of stall at the Festival. There are three categories of stalls at the Festival with an allocation 24m2 - 6m x 4m. Larger sites will incur a cost of $10/m2 for additional m2 above 24:
The Festival commences on Thursday 12 January and concludes on Sunday 15 January. Stalls are welcome from Thursday afternoon. Estimated attendances are:
If you would like to be considered as a stallholder at the Festival you will need to apply using the Stall Application Form. We strongly recommend you read the Stall Application Notes below before applying. Applications close 11 November and notification of success or otherwise should be by 15 December. Full payment of fees will be required by 1 January 2012. ENTRY TO THE FESTIVAL The festival is a ticketed event and there is strict control with the issuing of armbands for entry. Only a limited number will be issued for each stall. Other passes can be purchased at special rates. LOCAL NON-PROFIT ORGANISATIONS We welcome Charity / Local Community / Non Profit Organisations to provide stalls with aims similiar to the Festival. You still need to apply, pay the fees and following your acceptance by the Festival then apply with a letter to the Festival to have your fee donated back. |

2012 Stall Application Notes
The 27th Festival at Bulli Showground will be a ‘Waste Wise Event’. The Festival organisers and all stallholders will take responsibility for waste management by adopting sound purchasing and packaging policies, waste and recycling collection services and clean up practices. Festivals, by their temporary nature, generate a high volume of disposable materials. Waste Wise Events aim to divert the maximum amount of material from being sent to landfill.
The Festival Committee strictly controls the type and number of each type of stall at the Festival.
Approval will only be granted under the following conditions: -
- The goods you are selling are acceptable to the Festival Committee.
- You will only sell the goods you indicate on the ‘Stall Application’ form.
- You will be located on a site determined by the Festival Committee.
- No vehicles will be permitted in the Festival stalls area. Please provide trolleys and means to transport stall items from the general carpark.
- To your application you will attach a copy of your ‘Certificate of Currency’ (available from your insurer) proving your Public Liability insurance cover for your enterprise at the Illawarra Folk Festival at Bulli Showground, 12 to 15 January 2012.
- You will need to bring the original of your ‘Certificate of Currency’ to the Festival so it can be viewed by the Festival Committee before setting-up.
- If selling food and drinks you must comply with Wollongong City Council’s regulations. See further information below.
- If selling food and drinks you must only use recyclable drink and food containers and eating utensils. On the Stall Application form you will need to give details of the recyclable products you will be using. For details of appropriate products click on the ‘Enviro Products’ tab on http://www.wastewiseevents.resource.nsw.gov.au/

- Fees are to be paid to the Illawarra Folk Club Inc. before 1 January 2012. Instructions for payment will be provided if the application is approved.
- All power leads must be tagged. Any untagged power leads will be required to be tagged on site with any associated costs for this being paid by the stall holder.
- Approved Stall Holders will need to agree and conform to the Illawarra Folk Festival Stall Holders Code of Conduct which is
- Exhibiting at all times a positive and friendly approach with the purpose of ensuring Festival attendees have an enjoyable and memorable experience.
- Being alert but not alarmed! Noticing anything that looks dangerous or risky to public safety, and reporting it to the Festival Shift Manager.
- Taking steps to resolve any untoward situation safely and quickly.
- Have the utmost commitment to recycle waste as per the Festival requirements.
- Respecting and assisting each other, and all people we come in contact with, to the best of our ability.
- Following OH&S practices and policies, eg tagged cables, clear walkways, safe lifting and wearing protective clothing, hat and footwear as required and abide by NSW food authority guidelines.
- Ensuring we are not under the effects of drugs or alcohol while on duty.
2012 FESTIVAL PRICING
FOOD Stall Fees, 24m2 site
- One charge for Thursday, Friday, Saturday and Sunday including two 240V power sources using your own tagged power leads: $450-$550 (G.S.T. included).
Please note; power will not be available until 10am Thursday 12 January 2012. - 4 Season Passes will be provided for use of personnel working on the stall only. Additional passes may be purchased as follows and only if they are to be used for assisting at the stall: DayPass: $50, Season Pass: $85.
COFFEE Stall Fees, 12m2 site
- One charge for Thursday, Friday, Saturday and Sunday including two 240V power sources using your own tagged power leads: $200-$400 (G.S.T. included). Please note; power will not be available until 10am Thursday 12 January 2012.
- 2-3 Season Passes will be provided for use of personnel working on the stall only. Additional passes may be purchased as follows and only if they are to be used for assisting at the stall: Day Pass: $50, Season Pass: $85.
One Day CRAFT Stall Fees, 24m2
- 1 DAY STALL & 1 DAY PASS = $75
- 1 DAY STALL & 2 DAY PASSES = $125
- 1 DAY STALL & 3 DAY PASSES = $175
- Additional Day Passes = $50
- Power for Craft Stalls will be an additional $40 per site.
Season (more than one day) CRAFT Stall Fees, 24m2
- SEASON CRAFT STALL & 1 SEASON PASS = $135
- SEASON CRAFT STALL & 2 SEASON PASSES = $220
- SEASON CRAFT STALL & 3 SEASON PASSES = $305
- Additional Season Passes = $85
- Power for Craft Stalls will be an additional $30 per site.

- Power will not be available until 10am Friday 13 January 2012
- 240V Powered sites are limited – allocated in application date order.
CAMPING
You can camp at the Festival for a cost of $15 per site plus $15 per adult, the same rate as the festival goers. Camping is available from 10am Wednesday 11 January 2012.
Application forms and a copy of your ‘Certificate of Currency’ proving your Public Liability insurance cover must be received by the Festival Committee by Friday 11th November 2011.
When in hand, the Festival Committee will consider your application and you will be advised of their decision in writing.
DO NOT SEND MONEY WITH YOUR APPLICATION FORM.

General Notes for Approved Stallholders
The Illawarra Folk Festival is the largest of its kind in Australia which is run entirely by volunteers.
Arriving
Proceed to the Festival Office that is situated at the entry to the Bulli Showground. On arrival, you must provide your original 'Certificate of Currency' for viewing by festival staff who will then present you with your festival wristband / access passes. Your name should be on a list. If there are issues then contact will be made with the Stalls Coordinator. You will then be directed to the Stalls Coordinator to receive your site induction and final instructions.
Wristbands
Wristbands must be worn at all times. This is your pass for entry and access around the site. Wristbands are not transferrable to other persons.
Parking and Driving on Site
There are no special parking facilities for Stall Holders. There is lots of free parking on the site, follow the signs and instructions from the Stalls Coordinator. Please drive slowly and carefully around the site.
Camping
Stall Holders, who have permission, are able to camp from Wednesday morning to Monday 10am. There are designated areas for camping. Power is not generally provided to campers.
Site Induction
The formal induction process at the Festival covers the points listed here. You will be asked to accept the Stall Holders Code of Conduct and sign the form as such.
First Aid and Medical Emergencies
Report medical emergencies immediately either to the Festival Bar in main building or to someone with a walkie talkie radio, who reports to the Festival Shift Manager. Bar staff will call an ambulance if necessary. Basic first aid items and treatment will be in the First Aid Room. It will be staffed from 8am to Midnight. Any incident outside those hours should be reported to the Festival Bar that will be staffed into the late hours.
Incidents and inappropriate behavior
Do not intervene in any dispute but report any such incident to someone with a walkie talkie who will call the Festival Shift Manager for Security Staff assistance. Security Staff are being employed to assist with these situations and can be approached to assist. Please still notify the Festival Shift Manager of the situation.
Weather
Outdoor festivals are at the mercy of the weather and we have experienced both wind and rain at Bulli. Some of the problems that can occur are weatherproofing of tents, sodden ground and wind borne dust. Notify the Festival Shift Manager of situations. You may be called upon to assist.
Emergency Assembly Area
If there is a major emergency that requires a venue to be evacuated, the marshalling area is the middle of the track. If necessary, safe evacuation will be organised by the Shift Manager.
Recycling
We are proud of our recycling achievement in 2011 of 92% plus of waste being recycled and strive to keep improving on this. Please familiarise yourself with the recycling system and set an example to others.
Wollongong City Council Temporary Food Requirements
- Selling food from a temporary food stall requires a number of important considerations. Cleanliness and hygiene standards are as important for temporary food premises as they are for any shop or restaurant that has food for sale.
- The set up and operation of a food stall shall comply with the Food Safety Standards from the Australian New Zealand Food Authority. Contact 1800 652 166 or www.foodstandards.gov.au
